Terms & Conditions

By paying the booking retainer, I confirm I have read and accept these terms and conditions as set out by Gilliflower.

Quotes & Booking Confirmation

Quotes are valid for 4 weeks from the date issued.

It's the client's responsibility to check over every detail on the quote — date, venue, and the quantities of each item — before approving it.

We're unable to hold dates or offer tentative bookings. To lock in your date, we require a non-refundable booking retainer of 25% of the quoted total, along with your written approval of these terms and conditions. A booking is only confirmed once that booking retainer has been received.

The booking retainer covers the work already completed on your order and secures your date, meaning we turn away other enquiries for that day. It's subtracted from your final balance.

Paying the booking retainer also confirms that you've reviewed and approved all event details, and that any further changes to the quote will follow the process set out under “Changes to Quote” below.

The remaining balance is due 4 weeks before your event date. We're unable to deliver flowers or complete event styling until it has cleared.

Direct deposit is our preferred payment method.

Changes to Quote

Once you accept a quote, you're agreeing to both the items listed and the total price.

Any changes to your order need at least 4 weeks' notice before the event. Please note that we can't reduce the final total by more than 10% of the original quoted amount.

Changes to your date or venue are handled separately — see “Rescheduled & Relocated Events” below.

All requested changes must be put in writing to gilliflower2489@outlook.com.

Event Cancellations

Cancellations must be submitted in writing to gilliflower2489@outlook.com no later than 4 weeks before the event date.

Cancelling within 4 weeks of the event means the full invoice remains payable, regardless of the reason for cancellation.

If you cancel with more than 4 weeks' notice, the booking retainer stays non-refundable, but any payments made beyond that initial 25% will be refunded to you.

If Gilliflower needs to cancel the agreement for any reason, you'll receive a full refund, including the booking retainer.

Rescheduled & Relocated Events

Any change to your event date or venue must be advised in writing to gilliflower2489@outlook.com

We'll do everything we can to work around a new date or location, but availability can't be guaranteed.

If we're unavailable for your new date, or can't accommodate the venue change, the booking retainer remains non-refundable.

If we are able to accommodate the change, your booking retainer carries over to the new date, and we'll issue an updated contract and quote to reflect any changed circumstances (for example, wholesale flower costs, delivery, or venue set-up requirements can all shift with the season).

Price Variations

We reserve the right to adjust the pricing in this quote if costs beyond our control change — wholesale flower prices being the main example.

We'll always try to honour the price you were originally quoted, but the current volatility in flower supply (both local and imported) can significantly affect cost.

Should a price increase be unavoidable, we'll notify you in writing with our recommendation at least 14 days ahead of your event.

Product Substitution & Availability

Nature doesn't guarantee anything — exact colours, shades, or specific varieties can't always be promised, especially in unseasonably warm, wet, or cool conditions.

Whatever substitutions are needed, we'll always stay true to the colour palette and design style agreed on in your original design inspiration.

We reserve the right to swap in alternative products where needed to maintain quality. If you'd like, we're happy to arrange a follow-up chat to talk through any alternatives.

Vases and containers may occasionally need to change due to supplier availability — we'll always match value and overall look and feel.

We don't offer refunds for minor variations in flower type or appearance.

Delivery

Once your flowers or styling are delivered (or collected), responsibility for their care passes to you.

Hired Pieces

Hire items remain the property of Gilliflower unless they've been purchased outright by the client.

All hired pieces need to be returned within 48 hours of the event, unless another arrangement has been agreed in advance.

Please let your guests know that hired items (vases, votives, and similar) shouldn't be taken from the venue — you'll be charged full replacement cost for anything not returned.

It's your responsibility to return hired stock clean and undamaged.

Any item that's lost, broken, or damaged while on hire will need to be paid for in full.

We reserve the right to apply a holding fee for hire items, and to charge full replacement costs for anything damaged, lost, or not returned.

Photographs & Video Footage

Gilliflower retains the right to photograph completed work and use it for marketing purposes — this includes social media, our website, Pinterest, print advertising, and other promotional material.

Images we take of our arrangements remain our property and shouldn't be reproduced, copied, or edited by you or a third party without our permission first.

If your own photographer supplies us with images, we'll only use them for promotional purposes and will credit them on request.

We reserve the right to bring in an independent photographer to document our work on the day, for our own marketing use only.

Installations & Large-Scale Designs

It's the client's job to liaise with the venue or events manager about the scope of any planned installation.

Getting permission from the venue for hanging, suspended, or otherwise unusual floral structures is the client's responsibility.

We can't be held responsible if a piece of work can't go ahead due to a lack of venue permission or on-site safety concerns.

Supplying Your Own Vases & Structures

Please make sure any vases or vessels you supply are watertight before dropping them off to us.

If you're providing your own archway or ceremony structure, it's on you to make sure it's properly secured for the weather on the day (wind, rain, etc). Check with your venue manager about timing and set-up.

We can't offer refunds for work that can't be completed due to faulty or unsafe materials supplied by the client.

We're not responsible for damage to any items you've hired out separately.

Privacy

Your privacy matters to us. Names, event date, contact details, and order and pricing information are all kept strictly confidential.

We won't speak to media or release any information about your event without your consent.

Extreme Weather Conditions

If extreme weather hits (wind, rain, heat, or cold) safety comes first, and we'll follow official advice on flooding, bushfires, or other evacuations.

We can't be held liable for the impact severe weather has on our ability to safely carry out the work.

High winds and extreme temperatures can significantly affect flowers. We'll always do our best, but we can't take responsibility for weather-related damage to florals.

Force Majeure

If either party can't meet their obligations under this agreement due to natural events, strikes, equipment failure, or other circumstances genuinely beyond their control, that party won't be held liable for resulting damages.

If a force majeure event causes a cancellation or relocation within 4 weeks of the planned date, and the date can't be rescheduled or relocated under the terms above, you agree you'll remain responsible for the booking retainer and for the cost of any flowers or materials already purchased to fulfil the order.
